VoiceMate uses your browser's built-in Web Speech API for speech recognition. VoiceMate itself does not collect, store, or have access to your audio data — it is handled entirely by your browser's speech recognition engine. 1. Introduction

MAGIX AI NW LTD ("we", "our", or "us") operates VoiceMate, a Chrome browser extension that provides speech-to-text dictation services. This Privacy Policy explains how we collect, use, and protect your information when you use our extension.

We are committed to protecting your privacy and ensuring you have a positive experience using VoiceMate. This policy outlines our data practices and your rights regarding your personal information.

2. Information We Collect

2.1 Audio Data

VoiceMate does NOT collect, store, or transmit your audio data itself. Speech recognition is handled by your browser's built-in Web Speech API. Depending on your browser version, audio may be processed on-device or sent to Google's speech recognition servers for processing. 2.2 For Free Users

If you use VoiceMate's free trial, we collect:

  • No personal information is required
  • Anonymous usage statistics (time used) stored locally in your browser

2.3 For Registered Users

When you register for a free VoiceMate account (15 minutes/day), we collect:

  • Email address: For account creation and service communications
  • Preferred language: To personalise your experience
  • Usage data: Daily dictation time to manage your free allowance

2.4 For Pro Subscribers

When you upgrade to VoiceMate Pro, we collect:

  • Email address: For license management and support communications
  • Payment information: Processed securely through Stripe (we never see or store your full card details)
  • License key: To validate your subscription status

2.5 Extension Communications

The VoiceMate extension communicates with our servers (api.voicemate.tech) over HTTPS for the following purposes:

  • Trial management: Checking remaining trial time
  • Usage recording: Tracking daily usage for free-tier limits
  • Registration: Creating your account (email and language preference)
  • License validation: Verifying your subscription status
  • Surveys: Submitting optional feedback (when you choose to)

Data transmitted includes: device identifier, email address (when registered), license key (when subscribed), and usage duration. All communications use TLS encryption.

2.6 Automatic Data Collection

When you visit our website, we may automatically collect:

  • Browser type and version
  • Operating system
  • Pages visited and time spent
  • Referral source

This data is collected through standard web analytics and is used solely to improve our service.

5. Third-Party Services

VoiceMate uses the following third-party services:

  • Chrome Web Speech API: For speech recognition — depending on your browser version, audio may be processed on-device or sent to Google's servers (see Chrome Privacy Whitepaper)
  • Stripe: For secure payment processing
  • Cloudflare: For license management, API services, and content delivery
  • GoHighLevel (including LeadConnector): For customer relationship management, communications, and payment processing. GoHighLevel may use integrated sub-processors to deliver its services — see GoHighLevel's Privacy Policy for details
  • Google Analytics: For anonymous website analytics (can be blocked)
  • Google Translate: For optional website translation

Each third party has their own privacy policy governing their use of data.

5A. Chrome Web Store Compliance

VoiceMate's use of information received from Google APIs adheres to the Chrome Web Store User Data Policy, including the Limited Use requirements.

6. Your Rights (GDPR)

Under the UK GDPR and Data Protection Act 2018, you have the right to:

  • Access: Request a copy of your personal data
  • Rectification: Request correction of inaccurate data
  • Erasure: Request deletion of your data ("right to be forgotten")
  • Portability: Request your data in a portable format
  • Object: Object to processing of your data

7. Data Retention

We retain different types of data for different periods:

  • Trial users: Trial usage data retained while the extension is installed. Uninstalling clears local data
  • Registered users: Account data retained while your account is active and for a reasonable period afterwards to enable re-activation
  • Pro subscribers: Subscription data retained for the duration of your subscription. After cancellation, your license remains valid until the end of your billing period
  • Payment records: Retained as required by UK financial regulations (typically 6 years)
  • GDPR deletion requests: All personal data permanently deleted within 30 days of a verified deletion request

8. Children's Privacy

VoiceMate is not intended for children under 13 years of age. We do not knowingly collect personal information from children under 13. If you believe we have collected data from a child, please contact us immediately.

9. International Data Transfers

Your data may be transferred to and processed in countries outside the UK/EEA. When this happens, we ensure appropriate safeguards are in place, including:

  • Standard Contractual Clauses approved by the UK ICO
  • Transfers to countries with adequate protection (as determined by the UK)

  • Updating the "Last updated" date
